The Challenge

Smiles Inc was born from 15 years of invite-only road trips organized by car enthusiasts. Their events brought together owners of exotic vehicles for multi-day driving adventures.

For years, it ran on trust, group texts, and spreadsheets. As demand grew, the founders realized they were spending more time managing logistics than enjoying the experiences.

They had no way to sell memberships online, event registration was chaotic (managing waitlists, co-drivers, room preferences by email), and their most loyal members weren't being rewarded with early access.

Sponsors were managed informally, discounts were tracked in spreadsheets, and there was no central admin tool to handle simple support questions.

The Solution

We designed and developed a full custom web platform from scratch. Smiles Inc went from managing everything manually to running a fully automated membership and events business online.

What We Built

Four-Tier Membership System

Built a tiered membership structure with distinct pricing and perks. Members apply, get approved, and purchase securely. The system tracks status, expiration, and credits in real time.

Complex Event Registration

Step-by-step multi-variable checkout: entering details, selecting vehicles, adding co-drivers, choosing hotel types, applying credits, paying, and signing liability waivers digitally.

Tiered Waitlists & Early Access

When an event fills up, waitlists automatically sort by membership tier. Higher-tier members get early access registration windows automatically handled by the system's date math.

Member Dashboards

Self-service portals where members view upcoming events, redeem credits, manage their garage of vehicles, and save previous co-drivers.

Admin Control Center

The Smiles Inc team runs day-to-day operations seamlessly: reviewing applications, creating events, managing waitlists, issuing coupons, controlling sponsor placements, and sending mass emails.

Automated Gift Registrations

Members can buy registrations as gifts, triggering automated emails to the recipient to complete their specific waiver and details.

Every piece of tech—from Stripe payments to cloud database architecture—was chosen for reliability, security, and long-term maintainability. What was once a logistical burden is now a competitive advantage.
